Interlibrary Loan Request Form

Interlibrary Loan (ILL)

Interlibrary Loan (ILL) is a service provided in which library material, or a copy of the material, is made available by one library to another upon request.

Who may use Interlibrary Loan Services?

Interlibrary Loan service is available to all currently enrolled (in good standing) students, faculty and staff of Clovis Community College.

Requests

A request for each individual item must be submitted in writing or online on appropriate interlibrary loan forms with complete bibliographic information.

Copyright Restrictions

The copyright law of the United States (United States Code: Title 17) governs the making of photocopies or other reproductions of copyrighted material. Some material may not be available due to copyright restrictions.

What is not available by Interlibrary Loan?
  • Reference books
  • Rare, very old, bulky or fragile books
  • Textbooks
  • Audio/Visual materials
  • Computer software
  • Some dissertations
  • Entire issues of periodicals
  • Newspapers
  • Genealogical materials
  • Art prints or sculpture
  • Recently published books
  • Materials limited by licensing agreements
  • Titles owned by the Clovis Community College Library(unless our copy is lost or missing)
Loan Period

The loan period for materials borrowed is determined by the lending library. The average loan period is approximately 2-3 weeks. The lending library may also impose restrictions on the use of their materials (such as No Renewals, In Library Use Only, and No Photocopying). Note: You must abide by the conditions of use as defined by the lending library.

Fees and Charges

There are usually no fees for borrowing material through Interlibrary Loan unless the lending library charges a fee. In those cases, the cost will be charged to the patron.

Turnaround Time

Plan ahead when requesting materials. Materials ordered through Interlibrary Loan arrive on average within 10-14 days, but may take longer depending on the speed of the lending library and the U.S. mail. Please take this into consideration when requesting material to ensure you will receive the material when needed.

Delivery and Return of Materials

You will be notified by phone or e-mail when your material arrives at the Clovis Community College Library. You can pick up your materials at the CCC Library circulation desk. Please bring your CCC ID to check out your materials.

If you ordered books or other materials that must be returned to the lending library, an ILL book band will be on the front of each item stating the due date and any usage restrictions. Please do not remove this band.

It is the responsibility of the borrower to return interlibrary loan materials in a timely manner. All materials borrowed through Interlibrary Loan must be returned to the CCC Library by the due date. Fines and fees assessed by the lending library for overdue or replacement items are the responsibility of the patron who borrowed the item. Not returning interlibrary loan materials promptly may result in a loss of all library privileges. Note: The lending library reserves the right to recall their materials before the due date. In this case, the materials must be returned immediately.

Overdue Fines and Penalties

Due to the fact that we are borrowing materials from other libraries and institutions, late books can damage our relationship with the lending libraries and jeopardize our ability to borrow items in the future. When an Interlibrary Loan item is overdue, the borrower will be charged a fine of $1.00 per day for every day past the due date. Replacement charges will be imposed (most available retail price) for grossly overdue, lost, or damaged items along with a processing fee from the lending library and a processing fee of $20.00 per item from Clovis Community College. All fines, fees, and replacement charges are non-refundable. Ultimately, failure to pay interlibrary loan fines, replacement charges, and processing fees may result in referral to a collection agency.
